Event Registration System

System Owner: 
The system owner will need to make sure that events that have registrations are set up in time for people to register. You will need to work with the calendar system owner and others who are in charge of different events to get information regarding the events.

Purpose/Scope: 
The purpose of this system is to have an easy way for people to register and participate in different events that our church attends or hosts  

Procedure: 

Getting Started - You will need to have one of our Planning Center admins give you access to be able to create registrations. Once you have acces you will need to go to Planning Center. You will also need to have a Subsplash admin give you access to be able to enter the registration to an event.

LOG IN - You will need to log in to Planning Center (https://services.planningcenteronline.com) once you are logged in you will click on the service button on the top left corner and you will go down to “REGISTRATIONS”

UPDATES - If you need to make an update to an existing event
  • Click on the event you need to update. 
  • Click on settings.
  • Make the updates that you need to make.
  • Click the green “Save” button. 

CREATE NEW REGISTRATION - If you need to create a new event follow these steps. You will need to press the green “Save” button after everything you add.
  • Click on the green “New Signup” button. 
  • Add the date of the event and click the green “Next” button.
  • Make sure that the signup is “Detailed” and click the green “Next” button.
  • Put the event name and then click “Next”. After you do this it will take you to the settings tab and you will start entering more detailed event information.
  • Under “About” you will need to enter the description, location, and add an image for the event.
  • Under “Settings” you will enter date and time, add managers, make the event available on Church Center, add a notification email, and a confirmation email.
  • Managers will be whoever is over the event.
  • Visibility on Church Center will be set to Now.
  • The notification email will be the email for whoever is over the event.
  • The Confirmation Email will just say something like “Thank you for registering for (name of event). Can’t wait to have an amazing time with you”
  • Under “Attendee Types” you will enter the information about what types of registrations there are and how much they will need to pay.
  • To add an attendee type you will click the green “New Attendee Type” button
  • You will need to enter the name of the type of attendee, the cost, set a confirmation email that will be sent, put who the event is available for, and what information we are collecting.
  • Once you have all of the attendee type information updated you will need to press the green “Save” button.
  • You will repeat steps 12-14 to add another attendee type if necessary.
  • Add-Ons will make it where someone could add another registration under them. Most of the time you won’t be adding this cause the system already allows for a parent to register all children.
  • Questions & Forms will only be used if there is a form that we need to add to the registration.
  • Discounts allows you to create discount codes that people can enter.
  • Scholarships allows you to add a section for someone to pay for someone else to go. Most of the time we won't add these we will just ask people to give the money in the offering and mark what it is going towards. 

ADDING REGISTRATION TO AN EVENT - This will allow people to view and register for the event from the app.
  • Once you have entered all the information for the event you will click the “View In Church Center” button that is above the settings tab. 
  • Copy the URL for the Church Center page.
  • Log into Subsplash (https://dashboard.subsplash.com/auth/login)
  • Click on “Events” on the left side of the screen.
  • Click on the Church Calendar or the Youth Calendar depending on what event you are needing to add the registration to.
  • Find the event you are needing to add the registration to.
  • Once you have clicked on the event you are needing to update you will go down to the Website portion.
  • You will put the title as Register Now.
  • You will paste the Church Center URL to the URL portion.
  • You can also update the email and phone number to reflect the contact information for the person in charge of the event.
  • After you add that information you will click the blue “Save” button in the top right corner.

If you are having issues with any portion of making a registration for an event please reach out to your team leader or to Pastor for help. Don’t just click around cause you may mess something up and it is easier to help you with an issue than to have to recreate something that gets messed up.
