Guest Follow Up System

Purpose and Scope:
What is central to all churches is the commission to make disciples of men. One of the church's most challenging area is our ability to attract and connect with first-time guests. Our end goal is to get new guests from “attender” status towards discipleship so they can be involved in whatever ministry God has intended for them. Our biggest challenge, after finding creative ways to attract people to Jesus through our church, is how do we get them to be engaged in and coming back to our church! This will only be accomplished by a purposeful process - this is our guest follow up system.

Procedure:

1st Time Guest

  1. Guest Reception = give gift, take a picture and invite them back for lunch
  2. 24 Hour Text or Email Follow Up = Sending a text or an email to a first time guest by 11:00am the following day.
  3. 96 Hour Snail-Mail Follow Up Card = Send a note card - hand written and hand addressed to the guest within 3 days of their first visit to the church. Also, include a $5 gas card for them to return with.
  4. Growth Track Invitation - Growth Track Happens the 1st through 3rd Sundays Each Month. (Fourth Sunday is Dream Team Party).
    • Invitation by to attend Growth Track, and give them a simple RSVP option
  5. Call and Invite to Return by Dream Member(s):
    • This is a phone call or text that is made on Friday, just prior to Sunday. This call is to personally and energetically invite them to return on Sunday.
    • This reminds the guest of Growth Track and invites them to RSVP if they would like.
  6. Upon Return to Service - Add to 2nd Time Guest WORKFLOW
    • When a guest returns, whether they have been to Growth Track or not, you will automatically add them into the 2nd Time Guest Que.
    • If they have not attended Growth Track yet, leave them in the 1st Guest Que to finish following up with them.
    • Add person to the 2nd time guest queue so that they can be followed up on for the second time both by email and by mail card and gift card.  Also, someone will try to connect with them to get them involved (small group preferred), but in a Bible Study, Life Group or 30 Day to Life study if desired. (See steps below.)
  7. Continue to Invite guests for an additional 2 weeks if they don't come back to service or Growth Track with the first invitation!

2nd Time Guest

** Make sure any 2nd time guests get added to this queue a.s.a.p. after the service in which they return.
  1. Guest Greeted in Guest Reception Following the Service
    • This is a double check to find out: Was this person (or persons) greeted following a service in guest reception?
      Did we get a picture with them? Text them the picture on Sunday and thank them for coming.
  2. 24-Hour Second-Time Text/Email Response 
    • This email is sent by Pastor within 36 hours of their second visit. 
    • Again a personal text or email to returning guests.
  3. 96-Hour Second-Time Snail-Mail Response
    • The wording for this note is similar to the first card. This would be to thank them for choosing the Crossroads "again" or "for the second time" and we would include a $5 Gift card.
    • This note will be mailed on the Monday following the second Sunday they attend.
  4. Bible Study / 30 Days to Life / LifeGroup Connection
    • Now that they have come at least two times, where will we see them get connected? 
    • Who have they been talking to? 
    • Have they come back for Growth Track...
    • This step is to make sure that we follow up with them at least once more to make sure they know how to get connected.
    • Our goal is to see them join a small group, or go through Growth Track and get involved on Dream Team.
