Small Groups Online Setup System

System Owner: Rebecca Allen & Gisela Rivera
The system owner will be responsible for setting up small groups on Planning Center-Groups.

Purpose/Scope:
Small Groups are about doing life together and meeting weekly for prayer, discussion or activity, and encouragement. Our main goal will be to experience God together in our daily lives. We want to be able to experience real community with fellow believers and reach the lost.

Procedure:

Setting Up Small Groups in Planning Center

1. Log into Planning Center and under tab to the left click GROUPS.
a. Select the green New Group Button to add a group.
b. Enter a name for the group (example: Thursday - Small Group - Larsen) and select Small Group as group type.

2. Once group is up select the tab: Settings
a. Group Settings: Basic Info: Type in Meeting Schedule (example: Thursday’s at 7:00 pm).
b. Select an image to insert on the right and click save.
c. Location: Select location of group from drop down menu or add new as needed.
d. Enrollment: Select Auto-close if enrollment reaches (example: 12) Create alert if group membership exceeds (example: 10)
e. Event Reminder Default: Send reminder emails select on and select 2 days before from the drop-down menu.
f. Attendance Reminder: select check for - ask leaders to take attendance.
g. Leader Access: by Invitation only
h. Contact person for leader: Leader replies to (example: Rebecca Allen, Gisela Rivera, or Wayne Dummitt)
i. Group Page Settings: Visibility on church center select Published. Group enrollments select Open: request to join.
j. Group Description: Type in a brief description (example: Small Groups are about doing life together and meeting weekly for prayer, discussion, and encouragement).
k. Select Leader Display: list leaders name publicly
l. Calendar Settings: List event calendar publicly
m. Group messaging: who can create new messages: Members and leaders.

3. Select Events Tab on the left side of screen
a. Select Green Button - Create New Event.
b. Type in event name: (example: Small Group Meeting - name)
c. Select appropriate start date and time and end date and time
d. Repeat: Select Weekly and Repeat Until: end of term
e. Select green button: Create Event

4. Select Member Tab: select green add member button
a. Type in leader name: once the correct name appears select orange and create a new person tab.
b. Select Yes, add and once added make sure to select members and make the leader icon to the right to make that person a leader. Repeat for all leaders for that group.

5. To print complete group posters with QR code, select the upper right button that says Public Group Page. Once selected click the bottom right corner that says Shareable Code. QR code will appear and this can be printed for the sign-up wall. Adjust printing settings as necessary to ensure no margins and all information fits on one page.

6. Activate links for people to access sign ups on the church app and flow page: getting the link from the planning center groups page - https://crossroadsupc.churchcenter.com/groups/small-groups  and make sure it is active on theCrossroads flow page: https://flow.page/thecrossrds

7. Go to the church app/website and make sure the link is active and correct on both places so that people can sign up easily.
