Youth Rallies System
Youth rallies are church services designed especially for teens. Once a month, a church in our section will host a youth rally.
We want all youth to go and enjoy the service and fellowship. It is encouraging to see that there are other youth trying to serve God as well, our group is not alone. We all face some of the same issues and can get encouragement from the messages that are tailored toward teens.
Preparation
1. The Section 1 youth rally schedule is usually made available by the Section 1 Youth Leader around the end of the year in preparation for the year to come.
2. Once the schedule has been set, the youth committee needs to gather the following information for each rally to be used to set up an event on the church app and calendar:
• Location (Church Name and City)
• Time to meet at the church (15 min before departure time)
• Van Driver(s)
• Expected return time (when you plan on being back at theCrossroads afterwards)
• Amount of money to bring (this depends on if there is a planned after event or the restaurant the youth committee plans on going to)
• Graphic (the same generic graphic can be used for every rally in the church calendar)
3. Use the following guidelines for what time to meet at the church, depart to the rally and return home.
• Section 1 youth rallies begin at 7:30pm EST.
• Plan to depart from theCrossroads early enough to arrive at the host church at 7pm.
The departure time depends on how far away the rally is.
• Plan to meet at theCrossroads 15 minutes prior to the departure time.
• Youth rallies tend to end between 9-9:30pm. Estimate about an hour for getting food afterwards. So shoot for leaving to start heading home around 10:30pm.
• Add on the drive time between the host church and theCrossroads to get the return time.
4. For each rally, the following questions need to be answered:
• What time do we meet at the church?
• What time will we be back?
• How much money will each teen need to bring?
• Who is driving the van? Who is another adult that will accompany the van driver?
• Do we need more vehicles to transport everyone?
• Where are we eating afterwards?
5. A van driver will need to be planned out (as well as any additional vehicles that may be needed to transport all the teens to the rally) well in advance of a rally.
• Van drivers must be familiar with the Van System and follow all of the prescribed guidelines for driving the van during the youth trip.
• One must be an adult (21 or older) and have a teen’s parental permission before transporting that teen in their personal vehicle.
• Teens have priority when it comes to riding in the van. Any hyphens or church members that want to come to the rally and ride in the van are not guaranteed a spot. If there is space, then they are welcome to join but if not they may have to drive separately.
Promotion
1. Around two weeks prior to the rally, a social media post should be sent out to remind everyone of the upcoming rally. Messages (via the church app) should also be sent out to remind parents and teens of what to expect. These messages can include a link to the event that was created previously in the church app.
2. Another message/post should be sent out one week prior to the rally.
3. Some churches provide afterburners that include food and fellowship for an affordable price. If there is an afterburner you will want to notify everyone to bring a change of clothes. The majority of rallies don’t offer afterburners, so teens will need to bring money to buy food at a restaurant after the service.
4. Typically, the dress code for all youth rallies are “Sunday’s best” unless otherwise stated by the host church.
Day of Event
1. Another notification can be sent to remind parents and teens of the event on the morning of. Simply reiterate the details of the event mentioned previously. Make sure that you are aware of any teen that will need a ride to or from the church.
2. Arrive at the church prior to the established meeting time to make sure you are available to greet all of the parents and teens as they arrive.
3. Have the van driver start the van and heat or cool it as necessary. If needed, have the van driver fill the van with gas prior to loading up the van.
4. Load everyone up into the van. If additional vehicles are being taken, note who is driving each vehicle and who is riding along with that person. Get a head count for everyone in the group. Share the host church address and restaurant location with everyone driving.
5. Pray before departing.
6. Upon arriving to the host church, have everyone find a seat and place their stuff down before running off to socialize or to the bathroom.
7. Strongly discourage any teens from being on their phones during the service (beyond notetaking or the Bible app).
8. During altar call, be sure that there are adult male volunteers to pray with the teenage boys and adult female volunteers to pray with the teenage girls.
9. Upon leaving the church, go to the restaurant that you have arranged to go to. Be sure to keep in mind the price point and closing times when choosing a restaurant.
10. On the ride home, have every teen notify their parents of the time you will actually return to the church.
Acknowledge This system has been reviewed with me and I have had an opportunity to ask questions and discuss pertinent details. I understand my role on the team. Background checks are only required if over 18 years of age. If you are over 18, we will order a background check.
