Small Groups System

The system owner will be responsible for coordinating small group terms, making curriculum available to leaders, establishing group leaders, setting up small groups on Planning Center-Groups, and promoting small groups for maximum participation and growth.

Purpose/Scope:
Small Groups are about doing life together and meeting weekly for prayer, discussion or activity, and encouragement. Our main goal will be to experience God together in our daily lives. We want to be able to experience real community with fellow believers and reach the lost.

Procedure:
Terms: Winter, Spring, Summer, Fall

  1. Before the new term (two months or more), coordinate with the Pastor regarding curriculum ideas that align with the direction that the church is taking.  
  2. Review the Small Group Leader List in the app and solicit individuals that would be available to lead a small group for the upcoming term.  If new potential leaders are available make contact to see if they would be a fit. Ensure they meet requirements and can adhere to the guidelines. Communicate with them the upcoming term start date and have them select the day and time they would like to host their small group.
  3. Ensure new small group leaders have read over the guidelines and expectations and are aware of the mission of the small group. Hold any applicable training regarding the new term if needed.

5.   Once Sign Ups are posted, motivate facilitators to reach out to ensure that all members are plugged into a small group.  Communicate information regarding the upcoming term and ensure everyone is ready to begin.
6.  Promotions: (Start One month before)  A big part of ensuring the success of the small group system is to promote within the church as well as on social media platforms. Engage the creative team and pastor in gaining quality material that will ignite and spark interest in the new term. Ensure all content is approved by the Pastor and given to the creative team to announce.  Also, continually advocate for members to invite non members to small groups. This could be family, friends, neighbors or acquaintances.
7. Followup (2 weeks before term start): After signups and promotions have started follow up by searching the Planning Center to see who has signed up and who still needs to join.  Create a spreadsheet and delegate leaders to make contact with members who have not yet joined.  Ensure leaders are making personal contact, a quick phone call or visit is best. It is important to match potential small group members to the most accommodating group (schedule and location)  but also the one that would “fit” best. 
  1. Once small groups have started ensure that new members or visitors in the church are always invited to get involved with a small group. Also, check in with leaders and see how things are going and if anything is needed. Ask leaders to share some pictures or videos of the fun things that their small group may be doing.
